Stow Quill Ltd (company number 15671718), registered in England and Wales, is the data controller for personal data collected through this website. This policy explains what we collect, why, and what happens to it.

What we collect

This website collects personal data in one place only: the contact form. If you do not use the contact form, we do not collect personal data about you through this site.

When you submit the contact form we collect the information you enter:

  • Your name
  • Your company name, if you provide one
  • Your email address
  • Your phone number, if you provide one
  • The service you selected
  • The content of your message

What we do not collect

We do not use analytics, advertising, tracking pixels or third-party embeds on this website. We do not build a profile of your visit, and we do not share data with advertising networks.

Why we process it, and our lawful basis

We process contact form submissions to respond to your enquiry and, where relevant, to discuss and deliver services to you.

Our lawful basis is legitimate interests — specifically, responding to a business enquiry that you initiated. Where an enquiry becomes an engagement, we process your data to perform that contract.

Where it is stored

Contact form submissions are stored in Google Firestore in the europe-west2 (London) region, and are transmitted by email through Resend, our email delivery provider. Both act as processors on our behalf.

Some processing by these providers may involve transfers outside the UK. Where that happens, transfers are covered by the safeguards those providers maintain, including standard contractual clauses.

How long we keep it

We keep enquiries for up to 24 months from your last contact with us, so that we have a record of the conversation if you come back to us. Where an enquiry becomes a contract, records are kept for as long as required for tax and accounting purposes — currently six years.

You can ask us to delete your enquiry sooner at any time.

Your rights

Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to our processing of it, and to receive it in a portable form.

To exercise any of these rights, email support@stow-quill.co.uk. We will respond within one month.

If you are not satisfied with our response, you have the right to complain to the Information Commissioner's Office at ico.org.uk.

Security

This website is served over HTTPS. Contact form submissions are transmitted over an encrypted connection and stored with access restricted to Stow Quill personnel who need it to respond to you.

Changes to this policy

If we change how we handle personal data, we will update this page and the date shown above.
